HUC & Scribe Supervisor

Hospitality Health ER has an exciting new opportunity for a HUC & Scribe Supervisor. The ideal candidate will work well in a high-stress environment, be a quick-learner, have the ability to multitask, and will be technology savvy.

Both departments have amazing teams that need a leader who is firm but flexible. The supervisor will need to remind about dress code, clutter, cell phone use and appearance. Occasionally employees will have to be re-directed to remain on task. A supervisor who is willing to not only learn the inside and out of the roles, but also jump in and help the departments when they are behind is critical. Covering lunch breaks, and working if an employee calls in is necessary, even if it happens to be overnight. This willingness to help goes a long way with the staff and further builds a relationship of trust and respect with the staff. They want to see their leader and know they are right there in the weeds with them.

What is a HUC? The HUC is the heartbeat of the ER. They are responsible for maintaining the flow of the charts, coordinating orders, and ensuring charts end up in appropriate hands. They coordinate patient transfers and MRI exams, help prepare discharge paperwork, coordinate sonogram and myotherapy orders, as well as following up with lab and radiology and marrying results to appropriate charts. It is a fast-paced environment with strong, independent workers.

What is a Scribe? This department is tasked with preparing the charts for providers. They take information charted during triage and transfer it to the appropriate provider sheets. They will accompany providers to treatment rooms as requested, and help transcribe lab and radiology results as needed. They are also responsible for ensuring DC summaries are prepared for patients kept in observation. It is a department that can be very fast paced, but employees also have plenty to keep them occupied during slower patient census times. This department is made up of mostly nursing students, so scheduling can be tricky at times.

Supervisor Goals

As a supervisor at HHER, you will be held to a higher standard and will be expected to lead by example to all employees throughout the company. A department supervisor at HHER will manage and oversee the activities, performance, and schedule of the assigned department. Supervisors will uphold a professional perception to all staff to include treating all employees fairly and equally. Supervisors will not engage with staff on a personal level that could be misperceived.

Supervisor Responsibilities

Under the direction of the Director of Operations, the Supervisor at Hospitality Health ER will be responsible for, but not limited to:

Managing Workflow

• Supervising the staff of the assigned department, evaluating employee performance, and making recommendations for employment actions to the Administrator and HR
• Directing the daily operations of assigned department
• Scheduling meetings, services, and workers' time
• Ensuring employees compliance with company policies and standards
• Ensuring appropriate staffing to meet objectives; coordinating recruiting efforts with HR to meet staffing needs

Training New Hires


• Creating training manuals and processes for new hires to ensure consistent transitions
• Orienting new staff, explaining company policies and job duties

Creating & Managing Team Schedules


• Preparing work schedules and ensuring that there are no gaps in coverage
• Managing employee scheduling to minimize overtime
• Preparing for employee absences and schedule changes
• Managing employee schedule requests and submitting any Paid Time Off requests to HR for payroll processing
• Documenting attendance issues and following progressive corrective action as outlined in Employee Handbook
• Notifying HR of any timeclock corrections needed in a timely manner

Reporting to HR and Administration


• Coordinating all disciplinary documentation and termination of employees as needed to HR and Administration
• Escalating all employee concerns and/or complaints for proper addressing
• Evaluating each member of your team and recording punctuality, performance on goals, professionalism, disciplinary issues, adherence to company policies, and more; all incidents need to be reported to HR
• Upholding all employees to staffing requirements such as PRN shift requirements
• Maintaining accurate employee rosters and communicating all staffing changes to HR

Evaluating Performance and Providing Feedback


• Coordinating with Administration to establish goals and criteria to be used in performance evaluations
• Conducting 90-Day employment evaluations with new hires
• Conduction annual reviews with all eligible employees

Good in high stress environments - the HUCS and Scribes touch every chart in the building. You have to be able to jump in and help during peak times while still maintaining a calm atmosphere. Understanding the importance of the roles these departments play will allow you to keep the patient flow moving.

Quick learner - Both departments have a vast knowledge base. Being able to pick up on new tasks quickly and retain the medical information needed for scribing charts / understanding provider orders is key. There will be times (especially during peak hours) that you will be bouncing between the departments trying to make sure they are both flowing smoothly.

Multitasker - There are times that you will be tasked with keeping up with 20+ charts as a HUC (all in various stages of completion), and you will need to be able to juggle them successfully. A chart falling through the cracks means a negative patient experience.

Technology savvy - The HUCs utilize a wide variety of software systems in order to complete their jobs. In addition, you will need to understand technology and be comfortable with it in order to complete payroll, scheduling, help with DC summaries, evaluations, HR documents, training forms, excel files and more.

HUC & Scribe Supervisor Requirements:

  • Local, commuting distance to Longview, TX
  • Must be able to pass a background check
  • Mastery of the English language, including the ability to read, write, and communicate clearly and precisely
  • Customer Service knowledge including patient needs assessment, meeting quality standards for services provided, and the overall evaluation of patient satisfaction
  • A general understanding of personnel and Human Resources including recruitment, selection, training, compensation and benefits, labor relations and negotiation and personnel information systems

Education & Experience:

  • At least 3 years of experience working in a fast-paced environment, ER/Hospital preferred
  • Progressive leadership experience in a clinical setting
  • Bachelor’s degree, Master’s preferred
  • Proven experience in leadership
  • Minimum five years of progressive experience in clinical setting
